A corporate showroom budget is more useful when it describes what the space must do than when it starts with an unsupported price per square metre. Projects with a similar floor area can involve very different exhibits, finishes, technical content and operating systems. If you are requesting a showroom construction quotation in China, build a scope-based budget that can be refined as decisions are made.

Separate floor area from exhibit complexity

Floor area helps establish the scale of the space, but it does not explain the density or complexity of the exhibits. A room with a few product displays differs from a room with custom moving exhibits, detailed models, interactive applications and several coordinated media zones. Start with an exhibit list and a simple plan showing where each item belongs.

For each exhibit, identify what is physical, what is digital and what is supplied by the client. Keep undecided items marked as allowances or options. That lets a contractor explain the effect of a choice without presenting an incomplete design as a fixed final scope.

Build a budget around comparable packages

PackageQuestions that affect the budget
Design development and coordinationIs a concept already approved? Which drawings, reviews and specialist interfaces are needed?
Fit-out and exhibition finishesWhat is the starting site condition? Which material selections and quantities are defined?
Custom exhibits and modelsWhat must be fabricated, sampled, handled, opened for maintenance or demonstrated?
Content and interactive productionWhat source assets exist? Which languages, scenarios and approval rounds are required?
AV equipment and integrationAre playback, control, installation, commissioning and support included?
Site delivery and handoverWhat access, protection, testing, training and operating records are expected?

Identify what is reusable before buying new work

A refurbishment may retain displays, playback devices, cabinets or approved content. Request an assessment of their condition and compatibility before treating them as guaranteed savings. Reusing a screen can still require a new mount, control interface, content adaptation or access arrangement.

Existing films and product presentations also need review. A film made for an online audience may require restructuring for a guided visit. A CAD model may need preparation before it can support an interactive application. Describe available source files and ownership so production effort can be assessed.

Keep equipment and integration costs distinct

A list of screens and speakers does not describe a complete operating showroom. Ask how the proposal addresses playback, control, cabling, network dependencies, equipment access, software and testing. Ask which items are bought once and which licences or support arrangements may create continuing costs.

For display decisions, compare viewing positions, room conditions and media requirements using the LED versus projection briefing guide. Avoid choosing a format only from its equipment price before the content and installation conditions are understood.

Use options to make a budget decision

When a proposal exceeds the available budget, ask for options tied to the visitor objective. A simpler exhibit, a smaller content package or phased development may preserve the important explanation. Record what each option removes, retains or defers, including its effect on the opening experience.

Keep a separate list of surveys, selections and approvals that remain unresolved. Discuss how uncertainty and later changes will be allowed for. Any contingency, payment arrangements and final commercial terms should be specific to the proposal rather than assumed from an online guide.

What to send for a useful budget discussion

  • Project city, approximate area and current site photographs.
  • Latest plans and the stage of the design.
  • Visitor objectives, product list and initial exhibit schedule.
  • Known content, equipment and items proposed for reuse.
  • Target opening window and an available budget range, if one has been set.
  • Required quotation breakdown and decisions still open.
